Free beginner tutorial · About 30 minutes

From ChatGPT to your
first useful AI workflow.

Already asking ChatGPT questions? The next step is not building the most complicated agent. It's giving AI one useful job, clear instructions and a way to check its work.

What you'll finish.

Create a reviewed, reusable lead follow-up preparation workflow. It will accept fictional notes, recommend next steps, draft replies and flag what a person must approve. It will not email people or update a real CRM.

Why this example? It's recognizable to marketers and founders, small enough to finish in one session, and testable without customer data. Product managers can substitute fictional feedback; designers can use imaginary usability notes.

What you'll need: an approved AI assistant, 30 minutes and a few fictional notes. No coding subscription or connector is required.

00:00–05:00 · Choose your tool.

  • ChatGPT conversation: start with organizing, drafting and reviewing notes.
  • ChatGPT Work: where available, use it for multistep work with supported files, sites and connected applications, with approvals as required.
  • Codex: use it when you need coding, testing or modifying a software project; it is not the mandatory next step for everyone.
  • Automations and integrations: consider these only once the manual version is reliable and has an owner.

Interfaces, access and permissions may change. Check the official OpenAI Help Center rather than assuming every account has every feature.

05:00–10:00 · Give AI a finish line.

Define a useful result: a table of next steps, draft messages for review and a list of missing facts. Avoid the vague instruction “automate my sales.”

Help me prepare follow-ups from fictional lead notes.
Produce: lead, known request, proposed next step, draft response, missing facts.
Use only facts from the notes. Do not invent prices, dates or promises.
Do not send anything or modify accounts.
Ask questions if information is missing.
A person must verify and approve every final action.

10:00–16:00 · Provide safe inputs.

Sample fictional notes

Sam asked what is included in a website review; no price was quoted.
Taylor requested a discovery-call recap; the call notes are missing.
Alex asked for a demo on Thursday; calendar availability was not checked.
Morgan says an onboarding download link fails; nobody has checked the link yet.

Ask the assistant to identify which note supports every recommendation. Treat source traceability as a review aid, not proof of correctness. For real client materials, follow your data-use permissions before uploading or connecting anything.

16:00–22:00 · Check the output.

  1. Facts: no fabricated prices, meetings, client statements or link checks.
  2. Permissions: drafts only; no automatic messaging or CRM edits.
  3. Actions: calendar availability checked before offering Thursday; missing notes identified.
  4. Exceptions: broken links and unanswered questions visibly flagged.

Fix the instructions and try different sample records. The assistant cannot independently approve its own quality.

22:00–27:00 · Make it reusable.

Save five headings: purpose, allowed inputs, output format, quality checks and approval owner. Then follow this sequence:

  1. Collect authorized notes and confirm the owner.
  2. Draft the structured review and proposed responses.
  3. Verify facts, URLs, offers and availability yourself.
  4. Approve, revise or hold each message.
  5. Record outcome and one improvement to test next time.

Measure preparation, drafting, checking and correction time. A quicker draft is not valuable if it creates more rework.

27:00–30:00 · Decide the next step.

If your workflow handles a fresh input accurately, keep using it manually. Explore scheduling or system connections only with clear permissions, a baseline, exception handling and a responsible owner. This method also works for campaign briefs, product research synthesis and design critiques.
